How to Work More Efficiently in the Office
Working efficiently in an office not only refers to your own personal performance, but also how you and your colleagues are using the facilities and equipment that is available to you. The more efficiently the office runs as a whole, the more likely the business is to see positive results and increased profits. Alternatively, if you are guilty of procrastination and wasting company supplies, the company will not be able to make the most out of its resources. Here are some things to consider.
Workload Management
Think about how you are managing your workload. Do you begin each working day by listing out your priorities in order of urgency, so that you can tackle the most important tasks first? If not, this might be a great place for you to start. It’s also wise to break up large, overwhelming tasks into smaller, more manageable chunks. Refrain from multi-tasking, as this is not an efficient way of working, and instead try to focus on one thing at a time. Ticking items off your list one by one will help you feel more comfortable with your workload.
Reduce Distractions
Try to reduce the number of distractions around you whilst you’re working, and instead take regular breaks to check your phone or chat to a colleague. It will take you far longer to complete a task if you are trying to do it with your phone constantly buzzing next to you or your workmate chatting away at the next desk. Taking regular breaks will allow you to rest your eyes and also stretch your body so that you don’t end up with aches and pains.
Ask For Help

Don’t be afraid to ask for support from your supervisor or delegate tasks as you see fit, if you have the power to do so. You are not a superhero and can only do so much in a day, so don’t be too hard on yourself if it’s impossible to complete all of your work without any help. Stress will only lead to an inability to concentrate on something and it may also lead to sickness, which will not help you do your job.
Make Your Resources Work For You
As mentioned above, efficiency in the office is not just about you and your work. It’s also about how you are using the resources available to you. For instance, many of us are guilty of printing too much when we don’t necessarily need to. There are managed print solutions that can help with this if its an office wide issue, but it’s important to reflect on your own behaviour and how you can change it. For instance, consider whether or not you actually need to print a document, or if it would be better to just email a copy to your colleagues. You should also make sure that all technology is switched off properly at the end of each day so that you are not using electricity unnecessarily.
These are just a few of the many examples of how to operate more efficiently at work. There are lots of things you can do; it’s all about adjusting your actions here and there. At the end of the day, if you are able to contribute to a more efficient office environment, you will help your employer save money, which they can the invest back into the company in other ways, such as training for the staff or a quarterly bonus.
